Recruitment Privacy Notice

How CCUK uses the personal data you give us when you apply for a job through our careers pages.

Who this notice is for

This notice explains how Communicorp UK Limited ("CCUK", "we") uses your personal data when you apply for a role, or send a speculative application, through the careers pages on communicorpuk.com.

Communicorp UK Limited is the data controller. Our People Department handles your application. Our general Privacy Policy covers everything else we do with personal data.

What we collect

When you apply, we collect:

  • your name, email address and, if you give it, your phone number
  • where you are based and your notice period
  • whether you have the right to work in the UK, need sponsorship or are unsure
  • your CV, and any cover note or answer to a question about the role
  • your LinkedIn profile, if you give it, and how you heard about the role
  • any adjustments you need for the recruitment process
  • whether we may keep your details to contact you about other roles.

We do not ask for your date of birth, a photograph or your home address. We check your right to work only if we make you an offer, as the law requires.

As you go through the process, we add the stage your application has reached, notes made by the people reviewing it and any messages we send you.

Equality monitoring

You can choose to answer equality monitoring questions. Answering is optional and does not affect your application.

Your answers are stored separately from your application, without your name or reference and with no link back to you. We only ever look at totals, and we hide any total made up of fewer than five responses. Because some of these answers are special category data, we use them only with your explicit consent.

Why we use your data and our lawful basis

We use your data to consider you for the role you applied for, to keep you updated and, if you agree, to consider you for other roles.

Our lawful basis is our legitimate interest in recruiting the right people, and taking steps at your request before we may enter into a contract of employment with you. When we check your right to work, the lawful basis is our legal obligation. For equality monitoring answers, the lawful basis is your explicit consent, which you can withdraw at any time.

A person reads every application. We do not make decisions about you by automated means alone.

Who can see your data

Only the People Department and the hiring managers for the role can see your application. They sign in to a secure dashboard to do so.

We use these service providers to run the process for us:

  • Cloudflare, which hosts the application system and stores applications and CVs in data centres in the European Union. Cloudflare also runs the check that stops automated spam submissions.
  • Microsoft, which runs our email and our internal messaging. When we email you about your application, it comes from the People Department mailbox. Internal notices that a new application has arrived contain no personal data.

Roles are advertised through Employment Hero, but applications made on our careers pages are not sent to Employment Hero.

We do not sell your data or use it for marketing.

How long we keep it

We delete applications automatically:

  • if you are unsuccessful or withdraw, 12 months after that decision, so that we can answer any legal claim about the process
  • if you are hired, 6 months after the hire, by which time the details we need are on your employee record
  • for speculative applications, after 12 months
  • for any application that is still open, after 18 months at the latest.

Anonymous equality monitoring answers are kept for 36 months so that we can compare years.

Your rights

You can see the status of your application, and withdraw it, at any time using the private link we give you when you apply. Withdrawing deletes your details and CV straight away. We keep only an anonymous record that an application was made.

You also have the right to ask for a copy of your data, to have it corrected or erased, to restrict or object to how we use it, and to withdraw any consent you have given. To use these rights, quote your application reference and email trust@ccuk.media, or see our GDPR / Data Subject Rights page.

If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

Keeping your data secure

The dashboard is protected by sign-in controls, and CVs are only ever opened there. Your personal data is not sent to our website analytics or to our system logs.

Changes to this notice

We will update this notice if the way we handle applications changes. The date at the top shows when it was last updated.
